What to put on a cleaning invoice
●Standard clean (per visit). State hours and scope (e.g., 2hr standard clean, 3-bed).
●Deep clean add-on. Oven, fridge, inside windows — itemised separately.
●Supplies / consumables. If you provide them: 'Cleaning supplies (per visit)'.
●Key-holder / lock-up fee. Where you hold keys for unattended access.
●Travel between properties (multi-prop clients). Per-mile or fixed transit fee.
●End-of-tenancy clean. Often quoted separately as a fixed price.
How cleaners usually bill
Residential recurring: monthly invoice covering all visits in the month.
Commercial: monthly in arrears, often 30-day terms.
Airbnb / short-term: per-clean invoice, sometimes weekly aggregate.
End-of-tenancy: pay-on-completion or invoice landlord/agent within 24 hours.
Tax notes
Cleaning services are typically fully taxable. Some jurisdictions have reduced rates for residential cleaning under specific schemes — check local rules. Supplies sold to the client (rather than used by you) may be taxed differently.
Frequently asked questions
How do I invoice a recurring cleaning client?
Issue one monthly invoice listing each visit by date with the agreed rate. Total at the bottom, with a payment instruction (bank transfer, direct debit, card).
Should I charge for supplies or include them?
Either works — be explicit. If included, state 'incl. all cleaning supplies' on the invoice. If separate, invoice 'Consumables — refill of [items]' as needed.
How do I bill for a one-off deep clean?
Quote it as a fixed price based on bedrooms/bathrooms and scope, payable on completion. List the included tasks (oven, inside windows, fridge) so the client sees the value.
How do I invoice multiple Airbnb properties for one host?
One invoice per host per month, with each property/clean as its own line item. Reference the property name or short code so the host can match against bookings.
What a cleaning invoice looks like
Realistic, copy-and-paste-ready line items cleaners typically use. Rates below reflect a mid-cost US market, so adjust them to what your area pays.
●Weekly residential clean — 3-bed home (2 hrs × 2 cleaners at $40/hr) $160
●Deep-clean — initial onboarding clean (5 hrs × 2 cleaners) (one-time at engagement): $385
●Move-out clean — empty home cleaning including inside cabinets/oven (per flat rate, 1,200 sqft): $385
●Window cleaning — interior, 12 windows (per project surcharge): $85
●Recurring service discount — biweekly clients get 10% off (per visit credit): -$16
●Eco-cleaning products — Mrs. Meyer's / Method / Method-equivalent (pass-through if specifically requested): $15
●Photo documentation of completed work (via app at sign-off): no charge
Notes: Recurring service billed weekly or biweekly via auto-draft. Initial deep-clean required for first appointment. Cancellations within 48 hours billed at 50% of service. Bonded and insured ($1M general liability). Background check on file for all cleaners. Card, ACH, and check accepted. Late fee 1.5% per month after Net 7.
How fast cleaners see the money
Recurring residential cleaning is a near-pure-recurring revenue business: weekly or biweekly auto-draft, $80-300 per visit depending on home size and frequency. Initial deep-clean (one-time at engagement) is at 2-3× recurring rate to capture the catch-up labour. Move-in/move-out cleans are project-based one-offs ($200-650 per project). Commercial cleaning (offices, retail, small medical) is volume-based: $0.05-0.15 per square foot depending on service level, Net 15-30 from invoice.
Airbnb/short-term-rental cleaning is its own niche: $75-200 per turnover, paid by the host (usually monthly or per-property), volumes of 5-30 cleans per week per house. The fast-pay lane is one-time premium cleans (move-outs, post-construction cleans) at high per-visit rates. The slow-pay lane is large commercial contracts (Net 30-60). Most successful cleaning businesses blend recurring residential (steady cash), commercial (volume), and one-off premium (margin) for 70/20/10 revenue mix.
Five billing mistakes that hold up cleaning payments
●Not requiring an initial deep-clean before recurring service. Recurring cleaning maintains a clean home; it doesn't dig out months of accumulated grime. Without initial deep-clean, the first 'recurring' visit takes 3× the time and customer expects it to look like a deep-clean for the recurring price. State on engagement: 'First appointment is a deep-clean ($385 one-time); recurring service ($160/visit) follows.'
●Forgetting bonding and insurance. $1M general liability is industry standard ($300-800/year through Janitorial Bonds, Bonding Solutions). Bonding covers theft claims; insurance covers damage. Display 'Bonded and Insured' prominently; many residential customers won't book without it.
●Not enforcing the 48-hour cancellation policy. Customer cancels day-of: your crew has no work that day. Charge 50% for cancellations within 48 hours. Without the policy enforced, customers cancel frequently and revenue becomes unreliable.
●Quoting by the hour instead of by the home. Hourly cleaning ('$40/hr per cleaner') makes customers count minutes. Flat-rate per-home pricing ('3-bed home: $160 per visit') aligns incentives: you optimise speed without penalty, customers pay for results. Convert to flat-rate at the recurring stage.
●Skipping the photo documentation. Photo documentation at sign-off (key rooms, completed appliances) proves work was done. Without it, 'you didn't clean my kitchen properly' becomes a dispute with no evidence. Build it into the workflow via SwiftService, Jobber, or other field-service apps.
US tax notes for cleaners
Residential cleaning services are taxable in several states: Connecticut, Hawaii, New Mexico, New York (for residential cleaning by service-providers above thresholds), South Dakota, West Virginia, Texas (commercial only). Most states exempt residential cleaning labour. Verify your state. Commercial cleaning is more frequently taxable as a personal-property service.
Federal: Most cleaning businesses are sole-prop, LLC, or S-corp. Cleaning-business deductibles often missed: bonding and insurance (substantial annual cost), cleaning supplies (consumables — track inventory or expense as used), equipment (vacuums, steamers, carpet shampoo machines — Section 179), uniform expenses for employees, payroll for W-2 cleaners (or 1099 if properly classified), continuing-ed (green-cleaning certifications, mold-remediation training, COVID-protocol certifications), software (field-service apps like Jobber, Housecall Pro, SwiftService — monthly subscription), and the under-claimed line — vehicle expenses for cleaner-mobile setups.

Cleaning invoice notes for the UK
A UK cleaning invoice uses the same template with a few differences. If your turnover is under the VAT registration threshold (£90,000 since April 2024), you don't charge VAT and shouldn't show a VAT line at all — many solo domestic cleaners never register. Once registered, standard-rate VAT (20%) applies to cleaning services and your VAT number must appear on every invoice.
Recurring domestic cleans in the UK are usually settled by bank transfer or standing order rather than card, so put your sort code and account number in the payment block. For commercial contracts (offices, letting agents, end-of-tenancy work), you're covered by the Late Payment of Commercial Debts Act: you can charge statutory interest of 8% plus the Bank of England base rate on overdue B2B invoices, plus a fixed recovery fee of £40-£100 depending on invoice size. End-of-tenancy cleans should name the letting agent or landlord as bill-to and reference the property address — the deposit-release process often stalls without it.
The generator handles GBP and shows a VAT field only if you use it. For general UK invoicing rules (required fields, VAT invoice types, HMRC record-keeping), see our UK invoice template guide.
Other questions cleaners ask
How do I price residential cleaning?
Per-home flat rate based on size and condition. 2-bed apartment: $95-145 per visit. 3-bed home (1,800 sqft): $130-195. 4-bed home (2,500 sqft): $185-275. 5+ bed/large home: $250-385+. Initial deep-clean: 2-3× recurring rate. Frequency discount: weekly is base rate; biweekly +10-15%; monthly +25-35%.
Should I require contracts for recurring service?
Yes — service agreements protect both parties. State the service scope, frequency, rate, cancellation terms, holiday-skipping policy. Standard provisions: 'Service billed weekly via auto-draft; cancellation requires 30-day written notice; rate review annually.' Auto-draft prevents per-week chasing of payments.
Can I refuse to clean homes with extreme conditions (heavy hoarding, pet feces)?
Yes — and you should screen at booking. Walk-through pre-engagement reveals conditions. State on engagement: 'Service is for routine cleaning; biohazard (extreme pet conditions, blood, bodily fluids) requires specialised remediation outside our scope.' Refer to a remediation specialist if needed; protect your crew.
How do I handle a customer who claims something is missing after a clean?
Bonding insurance covers theft claims. Documentation is your defence: photos of high-value rooms before and after, signed work-order with crew names, time-in/time-out at the home. Most 'missing item' claims resolve when customers find the item later; some are legitimate and the bonding company handles. Hire crews with background checks; document everything.
